About this template
A tuition payment form takes course fees by card and records who the payment was for, which is rarely the same person as the payer. A parent, a guardian, or an employer paying on behalf of a student is the normal case, and a payment that arrives under the payer's name with nothing else attached is a payment the finance office cannot allocate.
The student number, the course, and the term are on the form for exactly that reason. Between them they place the payment against the right account without anyone emailing to ask, which matters most in the fortnight at the start of a term when most of the year's payments land at once.
The question about who is paying is there because it changes what happens next. An employer or sponsor paying usually needs an invoice or a purchase order reference for their own records, and knowing that at the point of payment saves the exchange that would otherwise follow a week later.
Set the amount to the fee for one term, or publish a copy of the form per course where fees differ. Add a file upload if sponsors need to attach a letter of authorisation.

- How do schools collect tuition fees online?
- Connect Stripe, set the fee on the payment field, and send the link with your enrolment or fee reminder email. The payment is taken by card and saved with the student name, number, course, and term, so the finance office can allocate it without asking anyone.
- What if a parent or employer pays rather than the student?
- The form asks who is paying and captures both names separately, so the receipt goes to the person who paid while the payment stays attached to the student. That is the single most common reason a fee payment cannot be matched to an account.
- Can students pay tuition in installments?
- Use the Installment Payment Form for a plan you have agreed, or the Recurring Payment Form to charge the same card monthly. Keep the student number on whichever you use so every payment still lands against the right account.
- Can we charge different fees for different courses?
- Yes, by publishing one copy of this form per course or per term and setting the amount on each. The payment field charges a fixed figure, which is safer than asking a payer to type a fee they may have read from an out of date page.
